At Human Touch IT, we recently had the privilege of working with a dedicated non-profit organization right here in the Comox Valley. From the moment we arrived at the meeting, we were genuinely impressed by their mission and the passion of the team driving it forward every day.

The Challenges We Discovered

Their network was operating under heavy strain. Older computers battled with slow internet connectivity. Their SharePoint environment had been originally configured by an internal team member who had since left the organization. The associated account was deactivated, triggering persistent synchronization errors and constant resync loops that attempted to update across all local computers — often multiple times per minute. File sharing was occurring in inconsistent, ad-hoc ways across local drives, compounding errors and consuming valuable time.

The most striking discovery came when we examined one staff member’s laptop more closely. In addition to the local SharePoint sync, the device was simultaneously syncing with OneDrive, Google Drive, and Dropbox — all through Windows Explorer. The cumulative bandwidth drain and risk of conflicts were substantial.

We asked a simple but powerful question:

“Which drive do you actually use for your day-to-day work?”

The answer was refreshingly direct: “Just one.”

It was a textbook example of well-intentioned tools accumulating over time until they began working against the organization rather than for it — a situation we see all too often in the non-profit sector.

A Different Approach

A comprehensive modernization project — properly restructuring SharePoint, upgrading hardware, strengthening security, and implementing reliable backups — would have delivered tremendous long-term value. However, the investment required was understandably far beyond the organization’s current budget.

Instead of walking away or pushing an unaffordable scope, we took a collaborative, human-centered approach. We sat down with their team member and asked:

In just three hours, we were able to deliver meaningful relief:

  • A comprehensive check-up of network bottlenecks with clear, actionable insights
  • Removal of unused local cloud drive client installations that were no longer serving the team (immediately reducing unnecessary sync traffic, errors, and bandwidth consumption)
  • Reactivation and clean migration of data from former team members into properly managed generic/shared accounts, complete with correct permissions and sharing settings
  • Reorganization of shared OneNote notebooks so the current team could collaborate effectively without version conflicts or access issues

The difference was immediate and tangible. What had been a daily source of frustration and lost productivity became a stable, functional foundation. Most importantly, the team could redirect their limited time and energy back to the mission that truly matters.
